In this lesson, we'll look a little more closely at

managing roles among users and what those roles mean.

At the moment, there are two members in this project:

one is a project admin and the other is an editor.

By selecting the view and manage members tool,

I'll get a dialog that allows me to manage the roles that people have.

I see the two existing members and if I wanted to,

I could easily change the role from editor to project admin.

This is something that you would want to do only

with the appropriate people in limited numbers.

Otherwise, you will essentially recreate the working conditions of a personal hub.

You can also invite people to the project from the dialogue,

but inviting people to a team hub has

additional considerations over inviting them to a personal hub.

Inviting someone to be a team member,

brings them into a larger environment where they can be connected to

individual projects versus inviting someone as a project collaborator,

where they are connected to a single project.

When someone is a team member,

they can manually request to join projects or be invited to projects.

Another difference is that team members can view

data in some projects that they are not members.

For an increased level of control,

I'll go to the name pulldown and select admin,

then I'll choose members and roles.

I'd like to focus on this member presently.

This member is set as a team member,

which means that they can view the content of

open projects whether or not they are members of them.

They can also see what closed projects exist,

and if they're not a member of the project,

they can request to be added to it.

They can also be invited to a secret project.

A project collaborator can be invited to be a member of

any closed or secret project but does not have the ability to

browse projects they're not a member of.

The admin controls can also show me

any pending invitations that were sent and their status.

To exercise another option,

I will deactivate the team member.

This is different from removing them from the team hub.

If I return back to the team hub and go to the project that they were once a member of,

I can see that they are no longer listed as a project member.

This person is still set as

a team member but they are presently not connected to any projects.

Perhaps you have a vendor or consultant that no longer needs

access to the team hub but you might want to use in the future,

so you don't want to remove them and have to go through the process of reinviting them,

or you're doing a review process and you want to make sure that

people aren't making modifications to the design during this period.

Another option is to change the project type to secret and then

only invite the collaborators or team members

that you want active during a certain phase.

As mentioned before, the process of inviting

members to a project is slightly different to the team hub.

If I activated the project that was already in this hub,

it has no data and I'd like to start to invite members.

When I click the invite button,

the dialog appears and I'm able to enter

the email address of the person that I would like to invite.

What is different than the personal hub,

is the role to the right of their name.

I would like this person to be an editor in the project,

so I'll leave that option unchanged and send the invitation.

So to review, as a team member,

this person will be able to see open projects and their data,

see the existence of closed projects,

and be invited to secret projects that they can't see.

A project contributor must be invited to the project they're to contribute to

and will be limited to only seeing

the projects and data that they've been invited to work on.

There are also project admin roles.

These project admins can create folders,

invite people to projects,

and remove people from projects.

This again is a key role and should be used sparingly,

but it does allow more than one person to be able to

handle the duties and functions in a project.

Having a team hub as opposed to a personal hub,

gives you greater control over member access, roles and responsibilities.
